    Why Stripe is hard to get right in QuickBooks

    Stripe pays you in batches. A single deposit covers several days of charges, minus Stripe's fees, minus any refunds or disputes that came out in the meantime. Your bank shows one number, and your books need all the pieces: the full sales amount as revenue, the fees as an expense, the refunds against revenue, and the payout itself as a transfer so the same money isn't counted twice.

    A connector can create those entries in QuickBooks. Somebody still has to check how they were mapped, match each payout to the bank deposit, and sort out whatever the rules didn't expect. For most founders that somebody ends up being them, at the end of the month.

      You connect Stripe

      Through the Median Accounting app on the Stripe App Marketplace. It asks for read access to your Stripe balance and cannot move money or change anything in your account. We bring your Stripe history in when you connect.

      Each Stripe transaction gets its own entry

      Charges post as revenue at the full amount. Stripe fees post to a processing-fee expense account, and refunds and disputes post to their own accounts under revenue, so your P&L shows what you sold and what it cost you to collect it.

      The payout is matched to your bank

      A payout moves money from Stripe to your bank account, so it posts through a clearing account and we match it to the deposit in your bank feed. The money is counted once.

      Your accountant reviews it

      An accountant checks how everything was categorized, and your P&L, balance sheet and cash flow reflect it. Anything that does not fit, such as an odd adjustment or a chargeback, gets looked at by a person.

    What happens to your QuickBooks

    That's up to you. Some clients want to stay on QuickBooks because their tax preparer, lender or investors work from it. We do the bookkeeping on Median and our team keeps your QuickBooks file updated from there, so you aren't paying for a sync tool and fixing its entries yourself.

    Others move off QuickBooks entirely. We bring your history onto Median at no charge and you can cancel the subscription. More on how the move works on our QuickBooks bookkeeping page.

    Your whole set of books for one monthly fee set by your revenue

    Stripe is one account among the rest of your books, so we keep all of it: bank accounts, cards and Stripe together. Essential is $200 a month under $250K in annual revenue with up to seven financial accounts. Growth is $500 a month from $250K to $1M, or at eight or more financial accounts. Over $1M we scope the fee with you on a call.

    Stripe counts as one financial account. A busy month of charges costs the same as a quiet one, and nothing is charged per seat. The whole rate card is published.

    Common questions

    Yes. The Median Accounting app connects Stripe to Median, where our team does the bookkeeping. If you want to stay on QuickBooks, we keep your QuickBooks file updated from Median. If you'd rather move off it, we bring your QuickBooks history across at no charge and you can cancel the subscription. Either way, you decide on the call.

    Each one gets its own entry. Charges are booked as revenue at the gross amount, Stripe fees go to a payment processing fees expense account, and refunds and disputes go to their own accounts under revenue. The payout that reaches your bank is a transfer, so it runs through a clearing account and is matched to the deposit rather than counted as revenue again.

    Read access to your Stripe balance. The app can see balance transactions such as charges, fees, refunds and payouts, and it cannot create charges, issue refunds or move money. Your bank and card accounts connect separately through Plaid, also read-only.

    Yes. We bring your history across from QuickBooks and clean it up as part of onboarding, and when you start ongoing bookkeeping with us the catch-up is included. You do not need to untangle the old payouts before you talk to us.
